Set up ASMTP on a printer, scanner or other device

The settings you will need

If your provider blocks port 587 as well as 25, try 465, then 2525.

Most office printers and scanners can email a scanned document. Their settings live in the printer's own web page or its front-panel menu, usually under Network, Email, SMTP or Scan to Email. The names differ by maker but the values are the same.

Before you start

A Device login from ASMTP is designed for this. It is limited to one sending address and 20 messages a day, which is enough for scanning and keeps the damage tiny if the password is ever taken from the device.

Then use the device's Test or Send test email button, if it has one, or scan a page to yourself.

Older devices and encryption

Some older devices cannot use modern encryption. If every encrypted setting fails, and the device is on your own office network, set the port to 2525 and encryption to none. Only Device logins are allowed to do this. Remember that the password then travels unencrypted across your office network, so keep that login just for the device and reset it if the device is ever sold or scrapped.

  • HP: usually under Web Services or Scan Settings, then Outgoing Email Profiles or SMTP.
  • Brother: under Network, then Email/IFAX, then Setup Server.
  • Canon: under Settings, then Network, then Email/I-Fax Settings.
  • Epson: under Network, then Email Server.
  • Xerox and Ricoh: under Connectivity or System Settings, then SMTP.
  • Kyocera and Konica Minolta: under Network, then Email, then SMTP.

Trouble?

  • The device says "SMTP authentication error": check the username and password, and that the method is Login or Plain.
  • The device sends but nothing arrives: the From address on the device must be the one you verified. Many devices ship with a made-up default address.
